CAREER & TECH / WORKPLACE ENGLISH
A useful status update helps someone understand what has changed, what is holding up the work and what needs to happen next. You do not need elaborate English to do that. You need a clear structure.
These templates are for people who work with international IT teams, particularly if English is not their first language. All project examples are fictional learning material, not messages or documents from an employer. Replace the bracketed fields with your own non-confidential details.
Start with five pieces of information
- Status: the current position and what has changed.
- Progress: what is finished and what is still underway.
- Risk or blocker: a potential problem or something currently preventing work.
- Action needed: who needs to do what, and by when.
- Next update: when you will share more information.
Status: Integration testing is complete.
Blocker: We are waiting for the final test results.
Impact: The release date is not yet confirmed.
Action needed: Could the QA team share the results by [time and time zone]?
Next update: I will share the release decision by [time and time zone].
This makes the difference between completed work, missing information and the next decision explicit. It does not imply that testing completion automatically means the release is approved.
1. When work is on track
We are on track for the planned release. Integration testing is complete, and the final review is in progress.
“On track” is clearer when you identify the plan you are referring to. A completed activity and the remaining review provide more information than “Everything is fine.” Use the status definitions your team has agreed.
2. When a delay is possible
The release may be delayed because validation is taking longer than expected. We are assessing the impact and will confirm the revised plan by [time and time zone].
“May be delayed” describes uncertainty. If the delay has already been confirmed, say “The release has been delayed” and explain the known impact. If you cannot yet promise a new date, give a realistic time for the next update instead of inventing a deadline.
3. When a blocker is stopping work
Testing is blocked because we do not have access to the test environment. Could [owner] help us restore access by [time and time zone]?
Name the affected activity, the reason it cannot continue and the action that would help. If work can continue but a future problem may affect the plan, describe that as a risk. Follow your organisation’s definitions where they differ.
4. When someone needs to make a decision
We need a decision on whether to proceed with the current scope or move the release. Could [decision owner] confirm the preferred option by [time and time zone]?
Separate a recommendation from an approval. “My recommendation is …” offers your view; “This is pending approval” tells readers that the decision is still outstanding. If ownership is unclear, ask: “Could you confirm who owns this decision?”
5. When you need to confirm an agreement
To confirm my understanding, the QA team will share the results by [time and time zone], and I will send the updated plan afterwards. Is that correct?
Use this at the end of a meeting to check the owner, deliverable and deadline. For international teams, include a date and time zone when needed. “Tomorrow” can refer to different local dates, and a time without a zone may be ambiguous.
Replace vague phrases with specific requests
- Instead of “There is an issue,” try “Testing is blocked by a login error.”
- Instead of “Please check,” try “Could you review the test summary and confirm whether we can proceed?”
- Instead of “We will do it soon,” give a realistic time for the next deliverable.
- Instead of “It is done,” clarify the scope: “The document is updated. Approval is still pending.”
A copy-and-adapt email template
Subject: [Project] — Status update and action needed
Hi [name/team],
Current status: [one-sentence summary]
Completed: [completed work]
Remaining: [work still in progress]
Risk/blocker: [issue and impact, or “None identified at this time”]
Action needed: [owner + action + deadline]
Next update: [date, time and time zone]
Please let me know if I have missed anything.
Best,
[name]
For a short chat message, you may only need the status and request. In a recurring meeting, lead with what has changed since the previous update. Adapt the length to the audience rather than filling every heading automatically.
Practise for five minutes before buying a course
- Choose one fictional project that contains no confidential information.
- Write three versions: on track, possible delay and decision pending.
- Read each aloud and check whether the status and request are easy to identify.
- Repeat without your notes the next day and record the phrases you were missing.
If you consider a course on Udemy or another platform, first identify whether you need speaking practice, meeting language or written updates. Check preview lessons, exercises, teaching language, level and course updates. Choose something that addresses a gap this free practice does not cover. No course is presented here as one I have completed.
